Applied Epic Dashboards: Accountant

When it comes to your accounting reports in Applied Epic, it’s vital to be able to trust the data’s integrity. After all, you want your reports to contain the most accurate and up-to-date information. That’s where Applied Epic Dashboards come in handy. These Dashboards provide a snapshot of your agency’s financial data, allowing you to catch any discrepancies before running your reports.
In this third blog of our six-part Applied Epic Dashboard series, we are covering the Accountant Dashboards available in your Applied Epic database.
Dashboards require an Applied Analytics subscription and need to be configured in your database. Check out our Applied Epic Dashboards Introduction blog for more information. At the top of each dashboard page, you can filter your data for different time periods, structure, and various transactional views of your policy data. You also can save default filters for each dashboard.
Important Reminders: You should generate Journal Entries to ensure accuracy. However, it’s important to note the Last Data Update at the bottom of each dashboard. The information displayed is accurate up to that date. There may be a delay with Dashboards updating transactions and balances.
Let’s begin our exploration of the Applied Epic Dashboards designed for Accountants, starting with the Pulse Dashboard.
Pulse Dashboard for Accountants
The Pulse Dashboard for Accountants is a summary page of multiple accounting dashboards. From here, individual tiles allow you to access and drill down to all balances and transaction detail for Payables, Receivables, Unapplied Balances, and Bank Accounts. There are also tiles dedicated to Balancing Receivables and Payables to the General Ledger, Transactional information, and a link to the Data Quality Report.


Bank Balance Dashboard
The Bank Balance Dashboard displays your bank balances and the transactions (receipts, disbursements, vouchers, and journal entries) that have been entered in your Applied Epic database for a given time period. The data shown in the Bank Balance dashboard results from Transactions and the General Ledger.

The example dashboard in the above image shows a full year’s activity for all bank balances in Applied Epic. You can select to see just one month’s worth of transactions or multiple months. You may also filter by specific bank accounts or choose a specific agency, if there are multiple configured in your database. If the activity that occurred in the bank has been reflected in your Epic database, this data should be the most accurate.*
Note: Bank balances in Applied Epic will never fully match actual bank balances due to activity occurring in your system that may not have yet cleared the bank for the month criteria set. For example, a check Disbursed to a client for return premium may have been issued at the end of December 2024 that has not yet cleared the bank.
Data Quality Dashboard for Accountants
The incredibly helpful Data Quality Dashboard provides Accountants with insights about missing accounting information in your Applied Epic database. The number in each tile below is clickable and opens a report of the specific policies that make up those figures. This allows you to quickly investigate and navigate to an account. Let’s break down each of this dashboard’s tiles:


- Policies in effect with no estimated commission: This dashboard tile displays the number of policies that have blank or $0 at the Servicing/Billing > Policy level. The percentage indicates what that number makes up against the total number of policies entered in your system.
- Policies in effect with no billed commission/premium: When the numbers in these two tiles match, that implies that there will not be billed commission since there is no billed premium. If the numbers differ, it indicates that a transaction was entered, but did not include agency commission. The data pulls from the Policy/Servicing > Policy area of a policy application.
- Lines in effect with blank line commission: This tile pulls information from the Line level of a policy application. It shows any policies with a blank agency commission percentage field. This blank field means the agency and producer commission reports will be thrown off.
- Lines in effect with invalid premium payable entity (PPE): This data pulls from the Line level of a policy application. A premium payable entity could be considered invalid for multiple reasons:
- The selected carrier is inactivated in your system.
- The BR type is selected, but the PPE is not defined as an External broker in that carrier’s file in Epic.
- The CA type is selected, but the PPE is not defined as a Billing company in that carrier’s file in Epic.
- The IN type is selected, but the PPE is not configured as an Internal Agency broker in that carrier’s file in Epic.
- Lines in effect with invalid billing plan: You can select the Tilling plan at the Line level of a policy application in the Billing tab. If the billing plan has not been defined under Configure > Policy > Billing plan, it’s considered invalid and will appear on this tile.
- Lines in effect with invalid commission agreement: Commission agreements help mitigate the number of blanks in the line commission agreement field. You configure Commission agreements in the Commissions section of an Issuing Company’s file in Epic. If that agreement has expired but is still selected on a policy, it’s considered invalid.
Direct Bill Download Dashboard
The Direct Bill Download Dashboard shows any commissions that are in Direct Bill Download Suspense not yet processed to the General Ledger. This provides a great visual to see what still requires processing. Cross-reference this information with your transactions to determine if commission has been received.

Month Closing Dashboard
To discover any discrepancies between the General Ledger balance versus the Transactions entered for a given month, use the Month Closing Dashboard.

The Month Closing Dashboard includes the following tiles:
- Agency Bill Receivable Balance: When the balance of your Receivable GL account doesn’t match the total transactions entered for a selected month, this Agency Bill tile will display that difference.
- Direct Bill Receivable balance: If your agency posts Direct Bill commission to a Receivable GL or Cash on Account, this tile will show the difference between what has been reconciled compared to the total amount posted.
- Premium Payable Balance: If the General Ledger sub-accounts do not match the Payable Balance for your Premium Payables, this tile shows the difference.
- Producer/Broker Payable Balance: This tile shows any differences between the Pr/Br sub-accounts and the payable balances for your producers and brokers. [Note: This tile will only be useful to agencies utilizing the Pr/Br Payables feature in General Ledger > Reconciliations. If your agency pays producers based off the Producer Commission report, you can ignore this tile.]
- Government Payable Balance: If your agency pays Government payables, and there is a difference been that entity’s GL account and the payable balance, the totals of those amounts will show in this tile.
- Sum of write off amount: This tile amounts to the total of write-offs from receivables, premium payables, direct bill commissions, and Pr/Br commissions.
- Suspended Items: Any receipts, disbursements, vouchers, journal entries, reconciliations, or transactions that are still suspended for a given period will be displayed here. This tile provides an easy way to identify suspended items that prevent you from closing a month.
Reminder: Clicking on the hyperlinks in a tile will pull up a report to show the specific accounts and transactions making up those balances.
Payables Dashboard
The Payables Dashboard not only gives overall totals for Premium Payables, Pr/Br Payables, and Government Payables, but it also provides Accountants with a breakdown of what makes up those totals by carrier, producer/broker name, and government entity name. Clicking on the individual amounts next to each carrier opens a report showing the transactions making up those totals. You can download this report to view it in its entirety. This report includes the Receivable balance, which immediately highlights if you are waiting on a client’s payment or if the carrier is ready to be paid. This offers a whole new streamlined process in keeping up to date with your payables.


Reminder: Just like under Month-End, the Producer/Broker tile will only be useful to agencies utilizing the Pr/Br Payables feature in General Ledger > Reconciliations. If your agency pays producers based off the Producer Commission report, you can disregard this tile.
Premium Trust Reconciliation Dashboard
It’s imperative to ensure that your Premium Trust account has enough money in it before net premiums are sent to carriers. The Premium Trust Reconciliation Dashboard offers a summary of a month’s activity that has occurred in the Trust account. You also see individual transactions that build into those totals.


Receivables Dashboard
The Receivables Dashboard shows the total receivable due to the agency during the accounting month and year selected. It lists the balances by account from greatest to smallest. To see a detailed list of open transactions totaling the receivable balance for the account, click on the account balance. If you click on the account name link, it takes you to its associated Account Detail screen.

Transaction Analysis Dashboard
For a great resource for various transactional revenue breakdowns and trends in total and in detail, check out the Transactions Analysis Dashboard. Simply define the transactional time period you would like to view, then see the relevant total revenue and the different revenue categories.


The Transaction Analysis Dashboard includes the following tiles:
- Total Transaction Revenue: This view shows the total transaction revenue for the selected time period. Click on the total to drill down to a detailed list of all the transactions that make up that total.
- Revenue by transaction class: View a pie chart breaking down revenue by transaction class (Account Current, Direct Bill, Fees, and Miscellaneous Defined Categories). Click on the chart for a detailed list of revenue amounts by class.
- Revenue trend: This panel shows you the revenue trend for the selected time period. Clicking on one of the defined time periods shows you all transactions going into that amount.
- Revenue by account: This view lists revenue by clients for the time period selected. It lists them from highest to lowest revenue by client. If you click on the amount for a client, it drill downs to the transactional data that totals their revenue for the selected time period.
- Revenue by Pr/Br: This view lists revenue by producer/broker for a given time period. It lists them from highest to lowest revenue by Pr/Br. Clicking on the amount for a producer/broker yields a drill down to the transactional data that totals their revenue for the time period selected.
- Revenue by policy type and status: Look into revenue by policy type and status for the time period selected. One of the columns lists the revenue by policy type from highest to lowest. Another column breaks out New and Renewed revenue by policy type. Clicking on a total amount allows you to drill down to that category’s transactional detail for that time period.
- Revenue by PPE & policy status: This view lists revenue by PPE in total and by policy status for the time period selected. It features a column listing the total revenue by PPE by highest to lowest. It also has a column breaking out New and Renewed revenue by PPE. If you click on a total amount, you can drill down to the transactional detail for that category for that time period.
- Revenue by various structures: The bottom row of tiles lets you view the revenue by agency structure for the time period selected. You can see the revenue totals by agency, branch, department, and profit center. You also can click on any of the revenue category amounts and drill down to that total’s transactional detail.
Transactions Audit Dashboard
Wondering if there are transactions that need attention in a given time period? That’s what the Transactions Audit Dashboard helps you identify. The first tile is Transactions requiring adjustment. This section lists the number of transactions missing premium payable and/or Pr/Br commission agreements. You can drill down to a list of these transactions and view what’s missing.
The second tile is the number of Policies missing expected transactions. Use this section to drill down to a list of the policies with no transactions for the time period selected.
You can filter both of these tiles by transaction date, policy effective date, structure, bill mode, policy type, line type, transaction agreement type, and line status.

Unapplied Cash and Credit Dashboard
The Unapplied Cash and Credit Dashboard shows the total balance of unapplied cash and credits in the selected accounting month. Click on the dollar amount to see the receipts, disbursements, and credit transactions that have not been applied in the time frame selected. You can filter by credit transactions and/or receipts – receivables to see a resulting list. You can continue to drill down to the account level from the detail screen.
